The VIES recapitulative statement in Cyprus

One row per customer per month, whole euros, and a rounding order the total depends on. Read off a statement that was actually filed, not an empty template.

01What the statement is — and what it is not

The VIES statement does not trigger a payment. It is pure information: it tells the other member states whom you invoiced without tax, so they can check that the recipient accounted for it.

That is exactly why it gets underestimated. It costs nothing, it is monthly, and forgetting it costs €50 per statement — repeating up to €850.

The period here is the month, not the quarter — and the deadline is not the one that applies to the return. Which one it is, is set out in the guide to filing deadlines.

02The header: five boxes, four of which stay empty

BoxLabel in the portalFor services only
1Total number of recordsNumber of detail rows — the portal counts them
2Total value of Intra-community Supplies of GoodsGoods — always nil
3Total value of Triangular TransactionsTriangular trade — always nil
4Total value of Intra-community Supplies of ServicesYour only box
5Call off stocks (count)Call-off stock — always nil

The empty boxes are still submitted. A statement with a box missing looks different from one where the box is nil.

03One row per customer per month — not per invoice

Four invoices to the same customer in one month make a single row carrying the total. File a row per invoice and you report the right turnover with the wrong record count.

And the number is split: the portal wants the country code in one field and the number without its prefix in the other. Your master data keeps the full number — the confirmation service and the printed invoice need it that way.

04Whole euros — and the order matters

Every amount is an integer. No cents, no decimals, neither in the rows nor in the header.

Round per customer row first, then add up. Not add up, then round. The other way round, the statement drifts from your books by up to a euro per customer, and nobody later finds out where from.

The services box in the header is the sum of the already-rounded rows. That is why the check adds up on a statement that was filed — on an empty template you cannot see it.

05The number format is not the one used in the return

If you upload the returns as a file, you meet two different formats inside the same portal:

ReturnWritten asMeans
VAT return11250,00comma, two decimals, no thousands separator
VIES statement62465a whole number — sixty-two thousand, not six hundred

Mix them up and you report a hundred times the amount to VIES. And a portal field happily reads a thousands separator as a decimal point — so never retype an amount off a screen, copy it from the return itself.

06The return and the statement have to agree

The box for services supplied to other member states in the quarterly return is the sum of the three monthly statements for that quarter. That is the check an authority can run by machine.

If they disagree, one of them is wrong — and because the VIES amounts are rounded, the difference may only sit in the rounding, never in a whole customer.
